Ottawa Deck Builders (“we”, “us”), a division of Delta Decks, designs and builds custom decks in Ottawa and the surrounding communities. This policy explains what personal information we collect through ottawadeckbuilders.ca, why we collect it, who receives it, how long we keep it and how you can exercise your rights. It follows Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and, for residents of Quebec, the Act respecting the protection of personal information in the private sector as amended by Law 25.

Information we collect
When you request a quote
Our quote form asks for your name, the address of your project, your email address and/or phone number, how you prefer to be contacted and a description of your project.
When you contact us
When you call or email us, we receive your contact details and what you tell us about your project.
When you visit the site
Like every website, our server receives your IP address, your browser type and the pages you request. Our hosting provider keeps these server logs for security and troubleshooting. When you send the quote form, the site also keeps a scrambled (hashed) form of your IP address with the time, so it can refuse more than five requests in ten minutes; these records expire after ten minutes and are deleted the next time a form is sent.
We also use cookies, described below. We do not ask for sensitive information, and our website is not intended for children under 14.
How we use your information
- to answer your request, prepare estimates and quotes, and contact you about your project;
- to keep the site and its form secure and to prevent spam and abuse;
By sending the form, you agree that we use the information in it to answer you. Requests are sent by email to our business mailbox, ottawadeckbuilders@gmail.com; the website does not store them in a database. We do not sell or rent personal information.
Cookies and your choices
On your first visit, a banner asks for your choice: you can accept all, refuse all, or choose by category. Optional cookies stay off until you turn them on. You can change your choice at any time with , also at the bottom of every page. Refusing does not limit your use of the site; the map then shows a button instead.

Other services our pages load. The customer reviews on our home and About pages are shown by Trustindex: your browser loads them from Trustindex’s servers, so Trustindex receives your IP address and browser information. Our fonts and photos come from our own site. When you follow a link to another site, such as Google, Facebook, Instagram, LinkedIn or a product manufacturer, that site’s privacy policy applies.
You can also block or delete cookies in your browser settings.
Who receives your information
- Google LLC: the map on our home page, as described above, and our business email (Gmail), which stores the requests you send us (Google’s privacy policy);
- Trustindex, which displays our customer reviews;
- Web Hosting Canada, which hosts our website;
- professional advisors and authorities, when the law requires it.
Our service providers may use your information only to provide their services to us.
Information stored outside Quebec and Canada
Google and Trustindex process information in the United States, Europe and other countries. There, your information is protected by our providers’ commitments, and it may be accessible to courts and authorities under local law.
How long we keep it
- Your requests and our exchanges: as long as needed to answer you and follow up on your project; if you become a client, as long as our business records and legal obligations (such as tax rules) require. Then we delete them.
- Hashed IP address for spam protection: expires after ten minutes and is deleted the next time a form is sent.
- Server logs: for a limited time, set by our hosting provider, for security.

How we protect it
The site uses encrypted connections (HTTPS), form requests are not stored on the web server, and only the people who need your information to serve you can access it. If a confidentiality incident presents a risk of serious harm, we will notify you and the authorities as the law requires.
Your rights
You can ask us to tell you what personal information we hold about you, to give you access to it, to correct it, and to delete it when we no longer need it. You can withdraw your consent at any time, for example with . Residents of Quebec can also ask for their computerized personal information in a structured, commonly used technological format, and ask us to stop disseminating it.
Send your request to the person responsible (contact details above); we may ask you to confirm your identity, and we reply within 30 days. If you are not satisfied with our answer, you can complain to the Office of the Privacy Commissioner of Canada or, in Quebec, the Commission d’accès à l’information.
Changes to this policy
When our practices change, we update this page and the date at the top. If a change affects your cookie choices, the banner asks you again.
